Acorn LearnHub ("we", "us", or "our") is the data controller responsible for your personal data. We are based in Ireland and comply with the General Data Protection Regulation (GDPR) and the Data Protection Acts 1988–2018.

  • Account information: name, email address, password (hashed), and role

  • Learning data: course enrolments, progress, scores, and completion records
  • Payment data: billing name and address (payment card details are processed by Stripe and not stored by us)
  • Usage data: login timestamps, IP address, browser type, and pages visited
  • Communications: messages or enquiries you send us

3. How We Use Your Data

We use your personal data to:

  • Provide, operate, and maintain the Platform and your account
  • Process course enrolments, track learning progress, and issue certificates

5. Multi-Tenant Data Isolation

Acorn LearnHub operates as a multi-tenant platform. Each client organisation's data is logically isolated and is not accessible to other clients. Learner data is only visible to administrators within the same client organisation and to Acorn LearnHub staff who require access to provide the service.

6. Data Sharing

We do not sell your personal data. We may share it with:

  • Stripe: for secure payment processing
  • Cloud infrastructure providers: for hosting and storage (subject to appropriate data processing agreements)
  • Email service providers: to send transactional and notification emails
  • Law enforcement or regulators: where required by law

All third-party processors are bound by data processing agreements and are required to handle your data in accordance with GDPR.

7. Data Retention

We retain your personal data for as long as your account is active or as necessary to provide services. Upon account closure:

  • Account and profile data is deleted or anonymised within 90 days
  • Learning records may be retained for up to 7 years where required for compliance or audit purposes
  • Financial records are retained for a minimum of 7 years in accordance with Irish tax law

8. Your Rights

Under GDPR, you have the following rights regarding your personal data:

  • Access: to request a copy of the data we hold about you
  • Rectification: to request correction of inaccurate data
  • Erasure: to request deletion of your data ("right to be forgotten")

Your data is primarily stored and processed within the European Economic Area (EEA). Where data is transferred outside the EEA, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission.
